Lead, CRM & calendar automation

Lead-to-calendar automation connects a website enquiry to a customer record, an agreed appointment and the people who need to know. It removes repeated data entry while keeping availability checks and booking decisions explicit.

An example of how the studio would build it. No live services are connected.

From a new lead to a booked appointment.

  1. Step 01

    Lead submitted

A website form captures the enquiry and a preferred appointment time.

  2. Step 02

    CRM updated

Find the existing customer or create a record, then assign the enquiry.

  3. Step 03

    Time checked

Check the diary and reserve the agreed slot before confirming it.

  4. Step 04

    Diaries synced

Add the appointment to the business diary and the assigned person’s calendar.

  5. Step 05

    Email sent

Send the customer a confirmation and notify the team with the details.

The result

One enquiry. Matching diaries. Everyone in the loop.

Reschedules and cancellations update the same appointment. A repeated submission doesn’t create a second booking.

Before we connect it.

Where this is useful

Useful when enquiries arrive through a form but someone still copies them into a CRM, checks a diary and emails the team. The first version can create a task for approval before any appointment is confirmed.

What we need to connect

  1. 01The enquiry fields and a reliable way to match existing customers.
  2. 02The calendar that decides availability, appointment lengths and staff assignments.
  3. 03The confirmation message, notification recipients and rules for rescheduling.

What needs careful handling

Two people can request the same slot. Reserve it in the booking system before sending a confirmation. Keep one booking identifier across the CRM and calendars so retries, cancellations and reschedules update the same appointment.

Questions people ask.

Does a form submission have to confirm a booking?

No. A submission can create a provisional request or a staff task. Confirmation happens only after the required checks or human approval.

Can this use the CRM and calendars I already have?

The first step is checking the events, APIs and permissions those tools expose. The workflow can then be designed around their supported capabilities and any steps that still need a person.
