Calendar-triggered TV welcomes

A calendar-triggered TV welcome uses an upcoming appointment to schedule a greeting on a reception screen. It rechecks the booking before display and returns to normal signage when the greeting expires.

An example of how the studio would build it. No live services are connected.

A personal welcome, right on time.

  1. Step 01

    Appointment found

Read the next confirmed appointment and its expected arrival time from the calendar.

  2. Step 02

    Greeting prepared

Choose a welcome template and the visitor name or company you want to display.

  3. Step 03

    Time reached

At your chosen time, recheck that the booking is still confirmed, using the calendar’s time zone.

  4. Step 04

    TV updated

Show “Welcome, Alex. We’re expecting you at 14:00.” on the reception TV.

  5. Step 05

    Display reset

When the greeting window ends, return to normal signage or welcome the next arrival.

The result

The next visitor gets a welcome made for them.

Reschedules and cancellations update queued greetings. Only approved visitor details appear, with a general welcome as the fallback.

Before we connect it.

Where this is useful

Useful for reception areas, studios and meeting spaces where expected visitors should feel recognised. Choose the timing and wording for the setting, from a company welcome to a general appointment greeting.

What we need to connect

  1. 01Confirmed appointments, time zones and a way to receive booking changes.
  2. 02A compatible screen or signage player that can receive display commands.
  3. 03Approved display details, greeting templates and a normal-signage fallback.

What needs careful handling

A cancellation must cancel the queued welcome. Overlapping arrivals need a shared greeting or a clear priority rule. The display should expire personal messages locally so a connection failure cannot leave yesterday’s visitor on screen.

Questions people ask.

Can the greeting show a first name or company instead of full details?

Yes. The display can use only the fields you approve. A general welcome is an option where identifying a visitor in a public space would be inappropriate.

Does every TV support this?

The screen needs a compatible signage app, connected player or another supported control method. Existing hardware and its offline behaviour are checked before choosing the integration.
