Facebook and Instagram lead ads to HubSpot

Lead ads automation takes each submission from a Facebook or Instagram lead form and creates or updates the contact in your CRM. It then assigns an owner and tells them in Slack, so a new lead is seen while the person is still expecting a reply.

An example of how the studio would build it. No live services are connected.

From an ad form to the right person’s desk.

  1. Step 01

    Lead received

Meta Lead Ads sends the new submission, with the form, the campaign and the answers the person gave.

  2. Step 02

    Contact matched

Find the contact in HubSpot by email or phone number, then update it or create a new record.

  3. Step 03

    Owner assigned

Choose an owner from the service requested or the postcode, with a fallback owner for anything unmatched.

  4. Step 04

    Owner alerted

Post the key details and a link to the HubSpot record to that person in Slack.

  5. Step 05

    Reply tracked

If nobody has logged a reply within an agreed time, alert a backup person or the team channel.

The result

Leads answered in minutes, not days.

Each lead ID is processed once, so a repeated delivery updates the same contact. Full lead details stay in HubSpot, and Slack shows only what the owner needs to act.

Before we connect it.

Where this is useful

Useful when lead ad submissions wait in Meta until someone remembers to download them. A sensible first version syncs every lead to HubSpot with its campaign and form, and posts to one shared Slack channel before routing to individual owners.

What we need to connect

  1. 01Access to the Facebook Page and ad account that own the lead forms, with permission to receive lead events.
  2. 02The HubSpot properties each form answer should fill, and the rule for matching existing contacts.
  3. 03Routing rules by service or postcode, the Slack people or channels to alert and a fallback owner.

What needs careful handling

The same lead can be delivered more than once, and form questions change between campaigns. Use the lead ID to prevent duplicates and map answers by question, with a safe default for new ones. Page permissions and access tokens can expire, so the sync should report when leads stop arriving rather than fail quietly.

Questions people ask.

Do I need to change my existing lead forms?

Usually not. The automation reads the questions the forms already ask. Keeping question wording consistent across campaigns helps answers land in the same CRM fields.

What if a lead comes from a postcode nobody covers?

It goes to a fallback owner or a shared channel, with a note explaining why it wasn’t routed. The routing rules can be adjusted as areas and services change.
