Cancellation waitlist automation

Waitlist automation responds to a cancellation by finding customers who are waiting for a similar slot. It offers them the time on WhatsApp, books the first person to accept and lets the others know it has gone.

An example of how the studio would build it. No live services are connected.

A cancellation becomes someone else’s appointment.

  1. Step 01

    Booking cancelled

Fresha reports a cancellation with the service, staff member, time and length of the freed slot.

  2. Step 02

    Matches found

Find waitlisted customers whose service, preferred staff and available times fit the slot.

  3. Step 03

    Slot offered

Send each match a WhatsApp Business message with the time and a simple way to claim it.

  4. Step 04

    First reply booked

Book the first customer to accept, after checking the slot is still free in the diary.

  5. Step 05

    Others updated

Let everyone else know the slot has gone and keep them on the waitlist.

The result

Cancelled slots fill themselves.

The slot is booked once, for the first valid acceptance. Offers expire at a set time before the appointment, so nobody accepts a slot they can no longer reach.

Before we connect it.

Where this is useful

Useful for busy salons, clinics and studios where cancellations happen often and the waitlist lives on paper or in someone’s head. A sensible first version sends the offers automatically but asks staff to confirm the booking in the diary.

What we need to connect

  1. 01Cancellation events from the booking system, or a regular check of its diary, depending on what Fresha’s integrations allow.
  2. 02A waitlist with each customer’s service, preferred staff, available times and agreement to receive WhatsApp messages.
  3. 03Approved WhatsApp Business message templates, an offer expiry time and the rule for who is offered first.

What needs careful handling

Two customers can accept within seconds of each other, so confirm against the live diary before replying to either. WhatsApp Business needs approved templates for messages that start a conversation, which shapes the wording and timing. Customers who don’t reply aren’t chased; their offer simply expires.

Questions people ask.

Is first come, first served fair to people who have waited longest?

It is simple and quick, but not the only option. The slot could go to the longest-waiting match for a short window before it opens to everyone.

What if my booking system has no API?

Some systems only expose part of their data or a calendar feed. In that case the automation can send the offers and collect acceptances, then hand the final booking to a member of staff.
